Five steps. One clear view.
Walk through each stage at your own pace. Your answers stay in the browser — nothing is saved or sent anywhere.
Set the scene
Name the CRMs you're evaluating (up to three) and tell the tool which disciplines your agency covers — perm, interim, exec search. This shapes which features get scored.
Audit your current stack
Log what you're paying now — your current CRM, job boards, bolt-on tools. This becomes your cost baseline for the comparison.
Score capabilities
Rate each feature across every CRM on a 0–3 scale, or mark it N/A. Categories are weighted by discipline. Every feature must be scored before you can move on.
Compare costs
Enter real pricing: users, cost per user, setup fees, and any bolt-ons you'd still need. The tool calculates your Year 1 cost per CRM and shows savings against your current stack.
Rate support
Log what you know about each vendor's onboarding, contract terms, and support quality. Rate it Strong, Adequate, Weak, or Unknown if you haven't got there yet.
Summary & export
A scored summary across all CRMs — features, costs, support. Export as PDF before closing the tab, or screenshot what you need.
What to have ready
The more detail you bring, the more useful the output. You can still run the tool without everything — just mark gaps as Unknown or N/A.
Your shortlist
Up to three CRM names you're actively comparing.
Current costs
What you pay per user per month for your existing tools — CRM, job boards, anything relevant.
Vendor quotes
Per-user pricing, setup fees, and any bolt-on costs from each CRM's sales team.
Demo notes
Anything you've observed during demos — what worked, what didn't, features that were vague.
Contract details
Minimum terms, notice periods, data migration policies — if you've got them.
User headcount
How many users would be on each system — this drives the cost calculations.
Data, privacy & liability
- No data is collected, stored, or transmitted. Everything you enter stays in your browser session only.
- Nothing is shared with The Ops Shop or any third party.
- When you close or refresh the tab, all data is gone. Export before closing.
- This tool is provided for informational purposes only. The Ops Shop accepts no liability for decisions made based on its outputs.
Ready to compare?
Takes around 20–30 minutes with everything to hand. Work through it at your own pace — but keep the tab open. Everything stays in this browser session only and is gone when you close it.
